Chaperones

We will post a chaperone duties and contract here in a few weeks. The following is a representation of the rules, not all are included and are subject to change.

1. Chaperones will be decided by the band director
2. We will need moms and dads for the trip
3. Final selection list will be notified by TBA

A chaperone:
1. will travel with the band on the bus unless otherwise approved.
2. will have an assigned group of students
3. will pay TBA
4. is required to be with the band for the entire trip, if not traveling with the band, arrangements must be approved by the band director, however you will arrive before the band arrives, and depart after the band departs.
5. can not have a tag-along sibling
6. can not pull their own child away from group to be with family.
7. Will pay own way, and discounted bus fee if not on bus. 
8. will not trade students within groups 
9. If chaperones travel with spouse, they too must be a chaperone and assigned all duties as one. 

Want to Go But NOT Chaperone

1. The band is not responsible for arranging your travel,admission tickets, hotel location/reservations. By contract, the band arrangements are all subject to change.  
2. The band is not responsible for accommodating you at planned outings.
3. You will not be able to separate your child from their group or activity at any time.
​4. You may not disrupt any portion of the groups planned activities. 

​General Information for Parents&Students

The Forge band program will travel to Orlando, FL for their annual spring trip.  Participation is open to all current/active marching band members free of all band debt and disciplinary issues. Possible inclusion of other band students

Report Time.  Report time for students is TBA for formal bag check process 

Luggage.  Students are allowed to bring one carry-on sized bag for the ride, and one suitcase and concert attire bag to be stored below. Please be aware that all luggage will be searched prior to being placed on the bus unless an opt-out form has been signed by a parent.

Medication.  The required medical forms can be found at www.forgepride.com under "forms".  All medication needed for the trip will be collected, counted, logged, and sorted by corresponding chaperone prior to leaving for the trip beginning at TBA.  All medication for the trip needs to be surrendered at this time, including any over-the-counter medication.  If your student needs to take a daily medication, in accordance with Stafford County regulations, you will need to have a “Permission and Medical Form for Overnight Field Trips” completed and signed by your physician.  If your student takes over the counter medication daily, you will still need to provide a signed form from the doctor per county guidelines.   If the necessary forms have been supplied, your son/daughter will be permitted to take their medication without a chaperone needing to contact you for permission.    If the proper form is not signed by a physician, we will need to contact you for permission every time your child needs medication (daily or over the counter).  All leftover medication will be returned TO A PARENT only on Monday.  If a parent is not available to pick up the medication, it will be given to the school nurse.

Bus Boarding.  Students will board the buses on TBA in comfortable clothing for the overnight ride.  We will arrive at our breakfast location at approximately TBA the next morning.  Students may want to bring snacks for the 12-14 hour bus ride as well as eat a nice dinner prior to arriving at TBA. All liquids must be in an unopened bottle with a screw cap top.  No straw/lid combos.  Remember, NO NUT PRODUCTS of any kind for allergy reasons.  Upon arrival in Orlando, the bus will stop at a rest area so that everyone can change and freshen up for the day.  There will be no access to suitcases, so all clothing and toiletries necessary for the first day must be taken on the carry-on bag that students bring on to the bus.   Be mindful of the size of your students' bus bag as it will have to fit in an overhead bin or at their feet.

Money
Students will have to purchase 5 meals on their own, They should also bring shopping money.
 
Dress.  We are following an abbreviated school dress code.  Students shouldn't wear clothing that breaks the school dress code in relation to images promoting drugs, alcohol, malicious intent, etc.  Temperatures in Orlando for March/April are lows around 60 and highs 82. We will be outside most of this trip. We trust our membership to wear clothing that represents our organization and our school positively.
 
Park Tickets.  Tickets will be distributed upon arrival at the park on Friday morning.  Please remind your son/daughter not to lose their ticket.  Lost tickets will be replaced at the students' expense!! 
 
Hotel Rooms.  We will arrive at the hotel at around TBA to check in.  Students will have about an hour and a half at that point to visit one another. 
Chaperones will inspect hotel rooms with students at check-in and at check-out.  Students are expected to stay in their hotel rooms after “lights out”.  Failure to do so, except in an emergency, can result in disciplinary action as described in the section below.
 
Game Over.  There are certain actions that will lead to a students' dismissal from the trip.  In the event of a major infraction YOU will be called to come to Orlando to pick up your child.  If you cannot, your child will be separated from the rest of the group for the remainder of the trip.  When we go to the park, they will sit in one place on a park bench with a chaperone for the day.  When we ride the bus, they will ride with a chaperone.  When we go to the hotel, they will need to purchase an additional room that they can stay in alone.  Major infractions include, but are not limited to:  Alcohol Consumption, Drug Use, and Property Damage.  Everything else can be dealt with on the trip, and referred to administration upon return for further disciplinary action upon return to Forge.

​Who Can go on Trip

Marching Band students get first priority, then we welcome and encourage non-marching students to attend.

A waiting list will be created after student 96 pays their deposit. We may add a third bus if we can fill most of it with students and parents.
